HR Administrative Assistant

Position Summary
This position reports to the EVP, Human Resources and is responsible for general office administration including assisting with the Division’s budgeting process as well as supporting the talent acquisition team, assist with the records retention system, purchase card and travel expense reconciliation and assistance with other HR initiatives, programs and projects as assigned.
Position Accountabilities
  • Serves as office manager for the Department. Oversees the establishment, implementation and monitoring of uniform unit-wide office procedures that are consistent with company-wide procedures and policies. Interprets organizational and unit policies and procedures for unit staff; and ensures the smooth administration of office functions.
  • Oversees the HR department budgets and monitors monthly budget reports for adherence to budget guidelines and goals. Recommends alternatives to utilize the available budget in an effective and resourceful manner. Responsible for monthly reconciliation of the department credit card, preparation, coding and processing of bills/payment vouchers, contracts and travel vouchers.
  • Provides administrative support for the Talent Acquisition team, this may include scheduling interviews, making travel arrangements for candidates, preparing interview itineraries and interview packets, attending career fairs, coordinating background checks and drug screens for candidates and supporting new employee orientation.
  • Assists with the administration of various HR programs such as the records retention system, the monthly parking pass distribution, etc.
  • Responsible for the creation and maintenance of organizational staffing charts.
  • Carries out the day-to-day office functions, including mail distribution, ordering and maintaining office supplies, managing facility work orders, and maintenance of employee kitchen.
  • Schedules meetings and conference space, completes catering requests, and ensures proper room set-up. 
  • Provides assistance as needed for other events.
Education/Experience/Technological Knowledge
Associate’s degree or equivalent experience; 5+ years of office administration experience including budgeting experience. Excellent Microsoft Office Excel, Word, Visio and PowerPoint skills. Excellent communication skills.
