Your day

As a Program Coordinator on the People Operations team, your days will vary greatly as there is no shortage of cool programs and projects to assist with. Our team is responsible for supporting HR programs like Learning and Development, Diversity and Inclusion, Performance Management and New Hire Onboarding, etc. You will be instrumental to keeping these new programs and initiatives functioning at a high frequency and helping us ​gauge effectiveness and success.


More specifically, you will

Build & manage HR program processes, systems, tools & resources:
  • SOP documentation & management
  • Procurement process management
  • Vendor management
  • Budget tracking & management
  • Creation and management of program schedules
  • Learning Management System (LMS) management
  • Quality control to maintain consistency & quality across all HR program


    Measure & track effectiveness and impact of global HR programs
  • Creating and sending post event / training surveys to participants
  • Delivering a full summary of post event / training surveys to PMs and or clients
  • Provide templates and help create post-mortem summaries following trainings / events
  • Tracking attendance and providing post event / training reporting to PMs and or clients
 
Delivery of program communications
  • Participant list tracking and management in the LMS
  • Send program communications to participants for trainings, workshops (including invitations, pre-work, reminders, follow-ups etc.)
  • Update program information on internal site, the Street
  • Master HR Program Calendar Management
  • Point of contact for questions / inquiries (in person)
  • Manage program email boxes and slack channels  (electronically)
 
Manage event and program logistics
  • Book rooms & venues, equipment, AV, set-up webex, etc.
  • Set-up room or activation space
  • Manage & prepare materials
  • Plan and order catering
  • Vendor / Facilitation coordination
  • Managing inventory of materials for trainings, workshops & activations across offices
 
You must have
• Bachelor’s degree
• Minimum of 1-2 years of relevant work experience, preferably in a HR organization
• Exceptional customer service skills
• Excellent verbal and written communication skills and a high degree of professionalism over email and in-person
• Proven ability to juggle multiple projects with excellent accuracy and attention to detail
• Good ability to cope with and thrive in a fast-paced, ever-changing environment
• Proven ability to assess and improve processes
• Proficiency in MS Word, Excel, Google Docs. Experience with Mail Merge and Survey Monkey a plus
• Great sense of humor a must. Passion for technology and/or media a big plus.
