The Payroll Manager must be dedicated, industrious, and committed to accuracy in all transactions. The successful candidate will handle all payroll processing duties and will provide assistance to both human resources and accounting when necessary. The Payroll Manager is responsible for overseeing the payroll, time reporting, and payroll tax filings for approximately 500 employees throughout the US and Canada. On a weekly basis, Payroll ensures that each employee is paid according to the authorized pay plan and updates the payroll system (ADP) with needed actions and adjustments.
Payroll is responsible for processing direct deposits, withholding transactions, retroactive adjustments, sales commissions/bonuses/expenses, and payroll tax filings. Payroll also manages and provides staff training and support to all staff for completing timesheets. The Payroll department issues IRS Forms W-2, 1099s, and other employees’ tax-related forms. The Payroll Manager reports to the Chief Operating Officer.

Payroll Manager Responsibilities and Duties

This individual must have a strong understanding of payroll practices, including multi-state and multi-entity payrolls, federal, state and labor laws, employee benefit plans, employment practices, and payroll taxes (US and Canada).

They must be proactive in identifying business solutions; able to improve and streamline policies, procedures, and processes; be proficient in documenting policies and procedures; and able to create opportunities for enhanced customer service.

This individual will interface with other financial and operating staff at all levels, with frequent interaction with Human Resources. As a result, this individual must have excellent communication (both written and oral) and organization skills.

Manages and provides a comprehensive review of time entered by employees electronically and manually as well as ensures required approvals are obtained. Also, coordinates efforts between various departments to ensure data collection and accuracy while adhering to a stringent time schedule resulting in completed and posted payroll.

Ensures preparation and filing of various bi-weekly, monthly, quarterly, as well as annual payroll tax returns and also provides assistance to employees, timekeepers, and supervisors with payroll issues to include requests for payroll information on a regular basis. Researches payroll issues/discrepancies, and processes necessary corrections; complies with the regulatory standards and policies and procedures of payroll.

Capable of calculating retroactive/adjusted pay for new hires, terms, and pay increases; verifies deduction calculations with respect to elected deductions, garnished wages, and Sec. 125 plans; for newly enrolled or changes to existing employees.
Payroll Manager Qualifications and Skills
Bachelor’s Degree in Accounting or related field preferred

5+ years’ experience in human resources, payroll or accounting

Experience in the staffing industry preferred

Experience with ADP payroll system software preferred

Ability to work independently and handle multiple projects and deadlines simultaneously in a fast-paced environment
